GUEST RELATIONS MANAGER

Scope and General Purpose:

  • To liaise with guests throughout their stay, assisting with excursions and any other guest requests

  • Make contact with all arrivals after check in to ensure they are comfortable and offer your assistance to ensure they are settled.
  • When picking up a reservation for a group or family travelling that exceed 10 guests, ensure that they are contacted and informed about restaurants in the area, as well as the fact that we will need to offer them a set menu in our restaurant and not a la carte.
  • Print arrivals lists once a week, and together with the GM, review arrivals for the coming week,
  • Arrange gifting for return / long stay guests with GM and ensure it is placed in the room. Allocate rooms to VIP and return guests and ensures welcome letters, welcome back letters and gifts are placed in room.
  • Ensure that all departments are aware of any special requirements and requests that arriving guests might have, so that arrangements can be made.
  • Make presence felt in restaurant, bar and banqueting during breakfast/lunch and/or dinner and assist in the restaurant when it is busy.
  • Visit the terrace/lounge and pools during your shift to ensure the Guests are being well taken care of. Take immediate action if required and liaise with Restaurant Management if the Guests have requirements they inform you of.
  • Meet incoming guests and talk to departing guests, ensuring that they enjoyed their stay.
  • Assist in Front Office when required to be on shift and when the Front Desk requires assistance.  Attend management meetings when required
  • Be responsible for compiling the comp account report on a monthly basis, ensuring all dockets are signed and that the account balances.
